About the Event
Choosing a college just got easier
The Big Virtual - College Admissions Fair is a national online event for high school juniors and seniors where hundreds of colleges converge to present their school. In this virtual setting, students can learn about and interact with these colleges via voice and text chat and live video streaming using just their smartphone. As you know all too well, there is a heavy burden and much confusion on the side of both the students and parents during the college discovery process. You can easily help clarify the situation and offer relief by registering your school with this comprehensive and time saving FREE event. Just follow the Prepare steps below and

A Quick Tour

Take a look at the simple and intuitive eCareerFairs platform below designed specifically to facilitate efficient communications between students and their favorite colleges. The modern platform supports both desktop and mobile browsers with no apps or programs to install.

Event Lobby Page
In the Event Lobby, students can search and view each college. Featured and favorite schools are listed first. College specific video tours, brochures, and other media is available on each booth tile.
College Videos and other Documents
From the Event Lobby and within the booth, students can view all materials posted by the college and submit their transcript and contact information.
College Booth Page
Within the College Booth, students can watch a live stream presenter and ask questions in a many-to-one format. They can get in multiple queues to chat with department specific reps.
Conversation Page
On the Conversation page, students and college reps speak one-on-one in a timed chat. All conversations can be rated and saved for later review.

Follow these steps to ensure your students get the most out of the event

Register Your School
When: right away...
By registering your high school for the free event eCareerFairs will:
Distribute important helpful tips, event updates, and reminders to you prior to the fair
Provide you with access to a list of your high school students and parents that have registered for the event
Assign you an eCareerFairs account rep that can assist you with any questions you may have

Notify Students and Parents
When: right away...
Reach out to students and parents and advise them of the event. Getting students to register for the event requires multiple interactions. Each recommended action is listed below. It is very important that you perform the interactions listed, or risk having a low registration rate.
Visit students in their home-rooms, class assemblies, study-halls, cafeteria, etc and ask the group to use their mobile devices to register. You can walk them through the quick registration process (the URL is: https://CollegeFair.TheBigVirtual.com/Register). This just takes a minute. This is a VERY effective way to get students to register in large groups.
A simple and effective way to get the kids registered is to provide the registration link to teachers of appropriate classes (ie: English) and ask them to have the kids register at the start of class using their smartphones. Here’s the URL: https://CollegeFair.TheBigVirtual.com/Register.
Repeatedly notify juniors and seniors about the event during normal morning announcements (provide them with the registration link - https://ColegeFair.TheBigVirtual.com/Register).
Email the students and parents a registration notice. Here’s a sample you can use if you hold the event during school hours (feel free to modify this to suite your situation):
SUBJECT: Register for The Big Virtual - College Admissions Fair - October 2nd

Dear student,

On October 2nd, <your school name> is facilitating an online college fair called The Big Virtual - College Admissions Fair at the school. We’re expecting several hundred colleges to attend and strongly recommend you participate in the event. Chances are your dream school will be present at the fair.

At the virtual fair you will interact with department heads of your favorite college using tools you’re familiar with such as live streaming, text, and video chat. You can learn the details and register for the event by visiting https://CollegeFair.TheBigVirtual.com/Register.

Those registered for the event will be excused from class for 1 hour on the above date and time and will report to the <facility> at that time. You'll be provided with a computer, or you can use your mobile device to participate at the fair (bring your headphones). We also encourage that parents attend the event alongside you to help in asking questions. We will have staff available during the fair to help you regarding signing in to and navigating the event in addition to the live chat help you can receive once online.

If you plan to attend, please register right away. There are some great event preparation steps that you'll be direct to once you register. Good luck in your college search!

Post a flyer advertising the event in strategic spots around the school (download flyer)
Another sure way to get the students to register is to gather them in an area with their mobile devices and walk them through the steps. eCareerFairs has developed a simple Student Preparation Guide slideshow that you can use. Be sure to post the event on your high school website, Naviance, Google Classroom, Facebook page (click the link to share), Twitter account, etc. Below is an image you can use for your school website and elsewhere (to download, right-click on it and choose "save image as"). Determine the Venue
When: right away...
If hosting the event during school hours, determine the venue and notify the facility manager of the event date and time.
Identify a suitable venue to make available for the event. This can be the school computer lab, library, cafeteria, gym, auditorium, study hall, or other available venue. The location will be needed for 3-5 hours - the length of the event.
Students may need a computer browser (Chrome preferred) outfitted with a webcam and microphone to get the best experience
The students should be excused from class to participate in the event and typically need about 1 hour of time to participate
Consider a staggered participation schedule (ie: by alphabetical groups) for the students for a more manageable flow of traffic
Parents should be notified of the event and be allowed to participate alongside their student if desired
Note that all registered student activity is tracked and can be evaluated during and after the event. Notifying the student of this will encourage them to participate and dissuade them from wasting time
If students will attend after school, or during Break, be sure to send an event notification email to the students and parents (see email template in Step 2 above).

Review the Schools Reminder
When: a month prior to the event...
Remind students and parents to review the attending schools and advise them to mark their favorites (eCareerFairs will be sending registered students a similar message)
Here’s some content for an email you could send out to the students (cc the parents):

Dear student,

As a quick reminder, The Big Virtual College Admissions Fair is fast approaching (October 2nd)!

Be prepared by following the steps described on The Big Virtual landing page here (specifically, Steps 2 & 3 under the Prepare section):

Basically, you should be building your list of colleges you’d like to visit during the event and forming questions to ask the representatives of those schools.

Attend the Event Reminder
When: a day prior...
Notify all participating students and parents of the event time and place it will be facilitated (eCareerFairs will also send an email reminder)
SUBJECT: Virtual College Fair - Tomorrow! - Be Prepared

Dear student,

The virtual college fair is tomorrow! It will be held in <facility>. You will be excused from class for 1 hour based on the following schedule. Students will be excused alphabetically by last name, where the first group is A-I for the first hour (10am), J-R for the 2nd hour (11am), and S-Z for the 3rd hour (12pm). Be sure to bring your mobile device and headphones - you will need them when communicating with college representatives. Also, be sure to bring your list of schools you want to visit and any questions you’ve developed for each school. Parents are encouraged to come and participate with you.

School staff, and I will be available during the event for any questions you may have. The host of the event, eCareerFairs, will also be available online to assist with any technical questions about using the platform you may have along the way.

eCareerFairs (an Echo Ventures, LLC company) does not sell, distribute, or solicit student/parent contact information collected (ie: via the Student Registration, or any other eCareerFairs process) to any 3rd party entities. Student/parent contact information is provided to colleges and universities that have participated in The Big Virtual - College Admissions Fair and only where the student/parent has visited the booth of that college or university. eCareerFairs will update students and parents of the event for which they've registered via email or text messages if they've subscribed to those notices.
